Requesting a Letter of Institutional Commitment and Support for Your Grant or Proposal

The Research Development team looks forward to supporting researchers who require an institutional letter of endorsement for a proposal that is signed by the Vice President for Research, the Provost, or the President. Typically, these letters fall into one of three categories: a letter of support (“this project is important and the leadership of Texas State University supports it”), a letter of collaboration (“Texas State University agrees to be a part of this project or participate in some way”), or a letter of commitment (“we agree to commit specific resources or funding”).

Researchers who request an endorsement letter are asked to use a form to provide key details, including the type of letter needed (i.e., support, collaboration, commitment, or other) and a link to the funding announcement. If additional University resources are being committed (this is often called “cost-share”), our team will need information about these resources and the people or office that is committing them. This information allows us to work quickly. Our team can also assist you in interpreting the sponsor’s guidelines for required letters. Guidelines for Requesting a Letter of Institutional Support

  1. Draft your letter
    • Create your letter in .doc or .docx format, following the requirements of your solicitation. (See a basic letter template).
    • Have your letter reviewed and approved by a department chair or dean.
  2. Fill this form. Upload the draft in the form.
  3. Collaboration with Research Development
    • Research Development will work with you to edit your letter and ensure it is ready for submission to all necessary parties.
    • Once editing is complete, Research Development will route the letter through the necessary channels to obtain the required signature before your deadline.
    • If additional communication is needed, Research Development can assist in organizing and facilitating meetings with necessary parties.
